QuickBooks is the heart of your business finances. It tracks your sales, expenses, payroll, and keeps everything organized. But what if one day you open it and your data is gone?
It happens more often than you think. Hard drives fail. Files get corrupted. Sometimes people accidentally delete things. And then there’s the risk of ransomware locking you out of your own books.
Backing up your QuickBooks data isn’t just a tech best practice. It’s something every business owner should take seriously.
What Can Go Wrong?
A few common ways QuickBooks data gets lost:
- Computer or server crashes
- Accidental deletion
- Power outages during a save
- QuickBooks file corruption
- Viruses or ransomware attacks
When that happens, you could lose months or years of financial records. Rebuilding that data isn’t easy, and sometimes it’s not even possible.
The Right Way to Back Up QuickBooks
There are a few ways to back up QuickBooks, but the most important thing is making sure the backup actually works and can be restored quickly.
If you use QuickBooks Desktop:
- Use the built-in backup tool. You can set this up to run automatically.
- Keep a copy on an external drive.
- Store another copy in the cloud, just in case your physical hardware fails.
If you use QuickBooks Online:
QuickBooks Online doesn’t back up your data in a way you can access directly. To be safe, use a third-party tool like Rewind or SafetyNet to make your own backups.
Our Advice
At Computer Concepts, we recommend having at least three copies of your QuickBooks data. One on your local device, one on a separate device like an external hard drive, and one in the cloud. That way, no matter what happens, you’re covered.
We also recommend testing your backups once in a while. Don’t wait until something breaks to find out your backup wasn’t working.
